Job Description

Mark Gray Law is seeking a Paralegal/Legal Assistant to join our team. The firm practices primarily in probate, wills and trusts, real estate, and small business representation. Desirable candidates are those with one to three years of experience in the foregoing matters , but on the job training is provided. A Bachelor’s degree or Paralegal Certificate is preferred.

Job Summary:

The primary responsibility of this paralegal/legal assistant position is to support lawyers in the areas of estate planning, probate, trust administration, small business and real estate law. A person in this position must be able to demonstrate professional integrity, attention to detail, and good judgment. A professional image, excellent communication and strong organizational skills are required. In addition, this position requires a team member who is responsible, dependable, highly motivated, and collaborative.

Requirements . This team member:

  • Provides excellent service in the form of prompt and courteous interaction with both internal and external relationships. This includes an obligation to actively cooperate and interact with others to advance the overall interests of the firm.
  • Performs duties according to the policies, procedures and instructions set forth by the supervising lawyer(s).
  • Understands the procedures, legal and tax implications , legal documents, and timelines in the areas of practice above.
  • Prepares:
  • probate and trust administration documentation such as pleadings, correspondence, notices, inventories and accountings, tax documents, and distribution documents;
  • real estate documentation such as purchase agreements, deeds, closing statements, correspondence, and related documents; and,
  • corporate and limited liability company documents such as Articles, certificates, minutes, correspondence, and related documents required to form and maintain legal entities.
  • Communicates in an accurate, clear, professional, friendly and concise manner, both verbally and in writing, with clients and other legal and financial professionals.
  • Displays a positive attitude toward work product and co-workers and works well with others in a team environment.

  • Manages and prioritizes workflow , deadlines, client files, documents and information in both hard copy and digital format.
  • E-files legal documents such as court pleadings, real estate documents and Secretary of State documents.

Qualifications . The successful candidate will have:

  • One to three years of applicable experience in a document intensive, detail oriented environment.
  • A Paralegal Certificate or a Bachelor’s Degree.
  • Proficient speed and accuracy with Microsoft Office products.
  • The ability and willingness to:
  • analyze and resolve routine administrative conflicts;
  • pay close attention to detail, work with deadlines and changing priorities, and to anticipate requirements;
  • be flexible, independent, and customer service oriented;
  • communicate clearly and collaborate with the team; and,
  • take direction, accept constructive criticism and responsibility for assigned tasks, and learn from problematic situations when they occur.
