Job Description

We are a rapidly growing construction company looking for a highly organized Bilingual Office Manager to take charge of our financial and administrative operations. We need a "business backbone"—someone who is strong with numbers, understands small business accounting, and can handle the day-to-day administrative chaos so we can focus on the field work.

While construction experience is a plus, it is not required. What is required is a strong background in accounting/bookkeeping, fluency in Spanish, and the ability to manage the financial health of a small business.

Core Responsibilities (Financial & Accounting):

  • Full-Cycle Bookkeeping: Manage all daily financial transactions in QuickBooks with high accuracy.
  • Accounts Receivable: Create and send invoices to clients immediately upon job completion and aggressively follow up on past-due accounts.
  • Accounts Payable: Manage vendor relationships, organize bills, and ensure suppliers/subcontractors are paid on time.
  • Tax & Compliance Support: Handle sales tax filings, organize financial records for year-end tax preparation, and ensure business licenses/insurance are up to date.
  • Payroll Management: Process weekly time cards for employees and manage payroll distribution.

Administrative & Business Support:

  • Bilingual Communication: Serve as the bridge between the office and our field staff. You must be able to read, write, and speak both English and Spanish fluently.
  • Customer & Vendor Relations: Act as the primary point of contact for incoming calls, emails, and texts. You will handle client inquiries and negotiate with vendors for materials.
  • General Operations: Assist ownership with high-level administrative tasks, scheduling, and office organization to ensure the business runs efficiently.

Requirements:

  • Language: Fluent in English and Spanish (Written & Verbal) is MANDATORY .
  • Experience: Proven experience in Bookkeeping, Accounting, or Office Management (2+ years preferred).
  • Software: Proficiency in QuickBooks is required.
  • Skills: Strong understanding of taxes, invoicing, and profit/loss tracking.
  • Nice to Have: Experience in the construction industry is a bonus, but not required if you are a fast learner.
